Common Mistakes When Choosing Accounting Software

1. Choosing based on price alone

The cheapest option is rarely the best value. A £15/month platform that saves your bookkeeper three hours a month is cheaper than a free platform that creates manual work. Factor in the time cost, not just the subscription fee.

2. Not checking accountant compatibility

Your accountant needs access to your accounting data for year-end accounts, tax returns, and advisory work. If they cannot log in directly and need you to export CSVs, you are adding unnecessary cost and friction. Check with them first.

3. Ignoring integration requirements

If you use Harvest for time tracking, Dext for receipt capture, and Stripe for payments, your accounting software needs to integrate with all three. A platform with fewer native integrations means more manual data entry and more room for error.

4. Overbuying features you do not need

A two-person agency does not need multi-currency support, advanced project tracking, and five-user access. Start with the plan that covers your current needs and upgrade when you genuinely need to. Most platforms make it easy to move up a tier.

5. Forgetting about MTD compliance

If you are VAT-registered, your software must support Making Tax Digital for VAT. This is a legal requirement, not optional. All the major UK platforms support it, but check before committing to any lesser-known alternative.

6. Not setting up bank feeds properly

Bank feeds automatically import your bank transactions into your accounting software. If you are not using them, you are manually entering data that could be automated. Set them up on day one and reconcile regularly (weekly is ideal).
